We process personal data in accordance with Regulation (EU) 2016/679 (the “GDPR”) and the applicable Romanian legislation.

2. Scope

This policy applies exclusively to data processed through the Website and through the contact channels displayed on it (e-mail and phone).

Patient data processed as part of medical services is covered by a separate notice, provided and signed at the clinic.

3. What data we process and why

a) Browsing data (statistics)
If you give your consent through the cookie banner, we use Google Analytics 4 to understand how the Website is used. We collect, for example, the pages visited, the length of the visit, the type of device and browser, the source of the visit and the approximate region. Google Analytics 4 does not store IP addresses.

• Legal basis: your consent (Art. 6(1)(a) GDPR).

b) Data you send when you contact us
The Website does not contain forms. If you write to us at programari@d-hub.ro or call us, we process the data you provide: first name, last name, phone number, e-mail address and the content of your message. We use it to reply to you and, on request, to schedule an appointment.

• Legal basis: steps taken at your request prior to a possible contractual relationship (Art. 6(1)(b) GDPR) and our legitimate interest in responding to requests (Art. 6(1)(f) GDPR).

Please do not send detailed medical information by e-mail. It will be discussed at the clinic.

c) Data from CVs
If you send us a CV at programari@d-hub.ro, we process the data it contains in order to assess your application. This may include your name, contact details, education and professional experience.

• Legal basis: steps taken at your request prior to entering into an employment contract (Art. 6(1)(b) GDPR).

4. Who has access to your data

Your data is accessed only by authorised Dentistry Hub staff and by the providers who help us operate the Website and our business. These providers act under contracts that require confidentiality and data security:

• Blastwave (blastwave.ro) – hosting of the Website and e-mail services;
• Google Ireland Limited – Google Analytics 4 (statistics) and Google Maps (map display);
• The provider of our appointment management software – if you request an appointment.

We do not sell or rent your data. We may disclose it to public authorities only when required by law.

5. Transfers outside the European Economic Area

Through the use of Google services, some data may be transferred to Google LLC in the USA. Google LLC is certified under the EU-US Data Privacy Framework, which ensures an adequate level of protection recognised by the European Commission.

6. How long we keep your data

• Browsing data (Google Analytics 4): 14 months.
• E-mail correspondence: as long as necessary to resolve your request, but no longer than 1 year from the last communication, except where the law requires a longer period.
• CVs: until the recruitment process is completed, but no longer than 6 months. We keep them longer only with your consent, for future opportunities.

7. Your rights

Under the GDPR, you have the following rights:

• the right of access – to find out whether we process your data and to receive a copy of it;
• the right to rectification – to correct inaccurate or incomplete data;
• the right to erasure (“the right to be forgotten”);
• the right to restriction of processing;
• the right to data portability;
• the right to object – to processing based on our legitimate interest;
• the right to withdraw your consent – at any time, without affecting the lawfulness of prior processing (for example, via the “Change cookie preferences” link);
• the right not to be subject to a decision based solely on automated processing, including profiling. We do not make such decisions.

8. Data security

We apply appropriate technical and organisational measures to protect data against unauthorised access, loss or alteration. These include a secure HTTPS connection and restricted access to data. However, no method of electronic transmission or storage is completely secure.

9. Minors

The Website is not intended for minors under 16. We do not knowingly collect their data without the consent of a parent or legal guardian.
